Privacy Policy
Last updated September 7, 2026
This policy explains what GWC Trucking Inc does with personal information collected through gwctrucking.com — our public pages, our job application, our contact form and our employee portal. It is written to describe what the system actually does, not what a template says it might.
1. Who we are
GWC Trucking Inc, a family-owned FedEx Ground contracted service provider based in Hagerstown, Maryland, running home-daily linehaul and over-the-road work. For anything in this policy — including a request to see, correct or delete what we hold about you — call (301) 500-0645 or use the form on our contact page.
2. What we collect, and when
When you apply for a job
The application form on our careers page asks for, and stores, exactly these:
| What | Why |
|---|---|
| Name | To know who applied and to talk to you |
| Phone number | How we contact drivers — usually a call or a text |
| Email address | A written channel, and how you reach your portal account later |
| CDL class | Whether you can legally drive the run |
| Experience | Matching you to the right work and to insurance requirements |
| Schedule preference | Which shifts to talk to you about |
| How you heard about us | So we know which adverts are worth paying for |
| Which posting, and your language | So the right person follows up, in the right language |
When you use the contact form
Your name, phone number, email address, your message, which page you sent it from, and your language.
Automatically, on the public site
We record the IP address of anyone who submits the application or contact form, together with the time. That is used for one thing only: limiting how many submissions can come from one address in an hour, so the forms cannot be flooded with junk. Our hosting provider also keeps ordinary server logs.
Visitor counts, and what we do not do
The public pages use Google Analytics to count visits
— which pages are read, roughly where visitors are, and what kind of
device they use — so we can tell whether drivers are finding the
careers page. It sets a small number of cookies (names
beginning _ga) that tell repeat visits apart; it does not
know who you are, and Google shortens IP addresses before storing them.
You can block it with your browser’s cookie settings or Google’s
opt-out add-on,
and the site works exactly the same without it.
Beyond that: no advertising pixel, no session recording and no cross-site tracking of any kind. We do not build a profile of you, and we have nothing to sell to anyone who would want one. If that ever changes, this section changes first.
If you work for us — the employee portal
Once you are hired and using the portal, we hold what an employer of commercial drivers is required to hold. Depending on your role that can include:
- Identity and contact details, date of birth, and Social Security number
- CDL number, class, endorsements and expiry; medical card status
- Employment and pay records, and bank details if you are paid by direct deposit
- Documents and photographs you upload — licences, medical cards, receipts, vehicle condition photos
- Time clock punches, including the location of your device at the moment you clock in or out
- Drug and alcohol testing records required by the U.S. Department of Transportation
- A log of who looked at what, and when
3. Why we hold it
- To hire. Reviewing applications, contacting you, checking you can legally do the job.
- To employ you. Payroll, scheduling, dispatch, benefits.
- Because the law requires it. Federal Motor Carrier Safety Regulations, DOT drug and alcohol testing rules, tax and wage records.
- For safety. Vehicle condition, hours, and incident records.
- To keep the site working and to stop the public forms being abused.
4. Who else sees it
We do not sell personal information, and we never have. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. We share it only where we have to:
- Companies that run the system for us — our database, sign-in and file storage provider; our website host; and the service that sends account emails. They process data on our instructions and for no purpose of their own.
- Fonts and code libraries. Our pages load typefaces from Google Fonts and one code library from a public CDN. Loading a file from those services tells them your IP address, the same as visiting any site that uses them.
- Where the law or a regulator requires it — including DOT-mandated checks with your previous employers, the FMCSA Drug and Alcohol Clearinghouse, and lawful requests from law enforcement.
- Background and driving-record checks, with your written authorisation, through the providers we use for hiring.
- FedEx Ground, where our contract requires driver eligibility information.
5. How long we keep it
Applications that do not lead to a hire are kept for as long as employment law requires and then disposed of. Driver qualification files, drug and alcohol records and hours-of-service records are kept for the periods the federal rules set, which in some cases run for years after employment ends — we do not get to delete those early. Nothing in this system is deleted casually; records are closed rather than erased.
6. How it is protected
- Social Security numbers, dates of birth, CDL numbers and bank details are encrypted, and every read of them is written to an audit log naming who looked.
- Drug and alcohol answers live in a separate restricted store that only an owner or the Designated Employer Representative can open.
- Uploaded documents sit in private storage and are reachable only through short-lived links.
- Access follows your role. The database enforces it, not just the screen — so a person who should not see something cannot get at it by going around the page.
- The site is served over HTTPS with a strict content security policy.
No system is perfect, and we would rather say that plainly than promise you something nobody can promise.
7. Your choices
You can ask us what we hold about you, ask us to correct it, and ask us to delete it. We will do what we can — but where a federal retention rule applies, we have to keep the record and we will tell you so rather than quietly ignoring the request.
You can stop our text messages at any time by replying STOP, and reply HELP for help; see our text message terms. Message frequency varies. Message and data rates may apply. You can ask us to stop emailing you about a job.
Employees: the location recorded when you clock in or out is a single point at that moment. It is not continuous tracking, and it is not used to watch where you go between punches.
If you are a California resident, you may have additional rights over your personal information, including the right to know what is collected and to request deletion. Contact us using section 10 below and say what you are asking for.
8. Children
This site is not intended for children and we do not knowingly collect information from anyone under 18. Interstate commercial driving requires you to be at least 21.
9. Changes
If we change this policy we will change the date at the top. If the change is significant — if we start collecting something new, or share it with someone new — we will say so plainly rather than hoping you re-read it.
10. Contact us
Call (301) 500-0645, (301) 825-5364 or (301) 646-5232, or use the form on our contact page. Se habla español.
If the problem is that you cannot sign in to the employee portal, our help page is the faster route.
